The group trip checklist, 14 days before you fly

14 days out, documents
Check passport expiry against the destination's rules, many countries require 6 months of validity beyond your travel date. The week before is too late to renew.
Visas, ETA / ESTA / EU ETIAS, check whether your crew needs any. Different passports may need different paperwork even for the same trip.
Travel insurance, one person sends a link to the group, everyone buys their own policy. Annual policies are cheap and worth it for the frequent traveller.
10 days out, reconfirm bookings
Email or message every accommodation provider to reconfirm the reservation. Get a fresh confirmation in writing. Airbnbs occasionally cancel; hotels occasionally lose group bookings.
Confirm any private transport bookings (airport transfer, day-trip driver, train tickets). Print or PDF the confirmations.
7 days out, the group doc

3 days out, packing + dietary
Coordinate the shared packing items (international adapter, power strip, first-aid, group sound machine, snacks). Assign one item per person.
Surface dietary stuff to the group, if someone is gluten-free or vegan or has a serious allergy, this is the week to flag it so restaurant choices for day 1 and day 2 can accommodate.
24 hours out, arrival logistics
Confirm everyone has airport-to-accommodation worked out. The crew lands in three flights, two of them late, and somebody arrives without knowing how to get to the hotel, solve this 24 hours before, not at the baggage claim.
Set one shared payment method for the first night, the person with the local currency / the working card pays, splits at the end. Nobody should be broke when they land.
